How does Calendly help customers with data subject rights?

Certain privacy laws, such as GDPR and CCPA, provide people with rights and control over how their personal data is processed. These rights are often called data subject rights or consumer rights. As a customer, when you use Calendly Services, the people whose data you collect, process, import, store or interact with – such as your invitees, contacts, meeting attendees and other people – are generally considered your data subjects.

How Calendly supports this right

The right of access and data portability

The data subject's right to access their personal data (what data you have about them) and receive it in a machine-readable, portable format.

Depending on the Calendly Services you use, you may export the following customer-related personal data to process a data subject access and portability request:

Contacts data:
You can access a contact’s personal data by going to the Contacts page.

Scheduled meetings

If you have scheduled a meeting with a person, that meeting will be listed on your Calendar page. You can filter meetings for a specific person, export your meeting details, and provide the resulting data to your data subject.  

Notetaker recap recordings and transcripts (where applicable):

You can download Notetaker recap recordings for a specific invitee by going to your Notetaker page, selecting the relevant recap, opening its recording, and clicking the kebab menu (vertical dots) in the bottom right corner of the recording and selecting Download. You can also share a link to the recording by clicking on the Share recap button at the top right corner of the Recaps page. Additionally, you can download the meeting transcript (in a TXT file) by clicking on Transcript in the recap and then clicking the download icon.

The right to rectification ('right to correction')

The data subject's right to correct inaccurate information you hold about them.

You can update a contact in Calendly by going to your Contacts page, clicking on the contact to open their details, and then clicking the pencil icon next to the contact’s name to edit the fields. For more information on managing a contact’s details, see How to manage a contact

The right of erasure (the 'right to be forgotten')

The data subject's right to have their data deleted.

Calendly provides customers with the following options for deleting personal data from the Calendly platform:

Contact data

You can delete a contact from the Calendly platform by going to your Contact’s page and selecting the contact by checking the box next to the contact’s name and selecting Delete at the bottom of the page. Notetaker recordings and transcripts

To delete a Notetaker Recap recording and transcript, navigate to the Notetaker page on the left hand panel and once on the page select the relevant recording by clicking on the checkbox on the left of the recording, then select delete at the bottom of the page. For more information on this, see How to delete a Notetaker recap. To delete all Notetaker recaps generated by Notetaker, users can access the Notetaker settings page and remove all associated recaps.

The right to restrict processing

The data subject's right to restrict further processing of their data, either temporarily or permanently.

Calendly can attempt to assist if you contact our support team. Alternatively, in some cases, you can ask the data subject if you can simply delete their data.

The right to data portability

The data subject's right to receive the data concerning them.

To fulfill this request, you can follow the information provided in "the right of access" section above.

You can download a Notetaker recap recording and export its transcript by going to the recap page of a past meeting and using the three dots menu in the video recording to download the recording and/or navigating to the transcript tab and exporting the transcript by clicking on the download icon on the top right of the transcript. The right to object

The data subject's right to object to a certain type (or all types) of processing of their data.

Calendly can attempt to assist if you contact our support team. Alternatively, in some cases, you can ask the data subject if you can simply delete their data.
