This article explains how to change the title your connected calendar shows when someone books with you.

By default, every booking for an event type uses the same title: the event type name. You can replace it with custom text, or add variables for details like the invitee's name, the event name, or the host's name.

Use these steps if you want your calendar to show more than just the event type name.

Requirements for customizing invitation titles

Before you begin, make sure you have:

  • An event type that uses Calendar invitations as its notification type

How to customize your calendar invitation title

  1. Go to the Scheduling page and select the event type you want to update.
  2. Select Notifications.
  3. Find Calendar invitation and select Customize.
  4. In the title field, add custom text, available variables (like invitee name, event name, or host name), or a mix of both.
  5. Select Done.
  6. Book a test event for that event type. Confirm the new title appears correctly on your connected calendar.

What happens after you update the invitation title

After you complete these steps:

  • New bookings for that event type show your custom title instead of the event type name.
  • Already-booked events don't update. The new title only applies to future bookings.

Frequently asked questions

The invitee name variable is in the title of one event type but missing from the other. Edit the event type that's missing the name and add the invitee name variable to its title field.

No. Calendar invitation titles can’t be customized with iCloud Calendar or the Outlook Plugin for Windows. If you use one of these, your calendar events will show the default title instead.
