This article explains how to use a shared mailbox's calendar with Calendly, for conflict checking or as the calendar where new events are added. Use these steps if you need Calendly to read or add events to a Microsoft 365 shared mailbox calendar instead of your personal calendar.

Requirements for connecting a shared mailbox calendar

Before you begin, make sure you have:

  • Delegate (Can Edit) permissions on the shared mailbox calendar
  • Your own Microsoft 365 credentials to sign in to Calendly (you can't log in as the shared mailbox directly)
  • The shared calendar added to your own Microsoft 365 account first (each team member who wants to use it must do this individually)

How to connect a Microsoft 365 shared mailbox calendar

  1. In Outlook or Outlook on the web, add the shared mailbox calendar so it appears alongside your own calendars.
  2. In Calendly, go to Settings → Scheduling → Calendars and connect your Microsoft 365 account.
  3. Under Calendars to check for conflicts and/or Calendar to add events to, select the shared calendar you added.
  4. Create a test event type and preview its availability to confirm Calendly can read busy times from the shared calendar.
  5. Book a test event and confirm it lands on the shared calendar you selected.

What happens after you connect the shared calendar

Once connected, the shared calendar appears as an option in Calendly's calendar settings. Calendly can then check it for conflicts and add new bookings to it, just like a personal calendar.

Frequently asked questions

If you don't see your shared mailbox calendar as an option in Calendly, there are two things to check.

First, make sure it's added to your Microsoft 365 account. The shared mailbox calendar needs to live in your account before Calendly can access it. If you haven't added it yet, add the shared mailbox calendar to your Microsoft 365 account. Once it's there, it'll appear in Calendly for you to select.

If you've already added it in Outlook but still don't see it in Calendly, here's what's likely happening: Calendly shows only the first 10 calendars Microsoft returns. If you have more than 10 calendars in your account, your shared mailbox calendar might not be in the top 10.

To fix this:

  1. Go to Outlook on the web.
  2. Unsubscribe from any calendars you don't use.
  3. Reorder your calendars so the shared mailbox is in the top 10.
  4. In Calendly, disconnect your Microsoft 365 account and connect it again to refresh the list.

Your shared mailbox calendar should now appear in Calendly.

Yes. Each person should add the shared calendar to their own Microsoft 365 account, then select it in Calendly according to their permissions.

No. But relying only on that access won't make the calendar selectable in Calendly. You must add the shared calendar to your own account.
